GENERAL ASSEMBLY MINUTES

MAY 18, 2019

The General Assembly of the Tennessee Society of Medical Assistants, Inc. was called to order by Speaker Sandra Laws, CMA (AAMA) at 1:24 pm at the Holiday Inn Express in Kingsport TN. Speaker Laws appointed Patsy Wilson to be Chaplain.  She led to membership in the Pledge of Allegiance.

The Credentials Committee Chair, Lori Hollis, CMA (AAMA) reported the following:

        2/3 Vote-7

        Majority Vote-6

        Total Voting-10

Dawn Alter, CMA (AAMA) read the General Assembly Rules.

Rita Neeley, CMA (AAMA) conference chairman presented the official program.

Speaker Laws asked for motion to adoption of the Agenda.  The motion was carrier.

Speaker Laws appointed Monica Case, CMA, (AAMA) as parliamentarian, Dawn Alter, CMA (AAMA) as timekeeper and Maria Mayorga CMA (AAMA) as teller.

All officer reports were presented to the TSMA Board of Directors at the pre-conference board meeting.

COMMITTEE REPORTS

TSMA Annual Conference-Lori Hollis, CMA (AAMA) MSAH, Chair stated the conference will be at Cleveland State Community College in October.

TSMA Fall Seminar 2018 Northeast-Rita Neeley,CMA (AAMA) reported that the seminar was cancelled due to lack of enough registrations to clear any profit.  Cancellation was done by majority vote of the board of directors via email vote.  The chapter sent via email 153 notices to check the TNSMA.org website or registration resulting in 2 return emails and 3 inquiries.  The Meadowview returned the $200 deposit to the chapter.  Chair Neeley will sent a written report to Dawn Alter, CMA (AAMA).

TSMA FALL SEMINAR 2019 Cherokee -Lori Hollis, CMA (AAMA), MHSA, stated seminar would be in mid-October.

BUDGET/FINANCE/WAYS AND MEANS-Chair Clapp presented report at BOD meeting.

BYLAWS/POLICY HANDBOOK-Chair Clapp presented report at BOD meeting.

COMMUNICATION WEBSITE/FACEBOOK; CONTINUING EDUCATION; HISTORIAN, MEMBERSHIP/CERTIFICATION reports presented to BOD by Monica Case, CMA (AAMA), Lori Hollis, CMA (AAMA), MHSA, Sandra Laws, CMA (AAMA) respectively presented these reports.

PUBLIC POLICY-Dawn Alter, CMA (AAMA), AAS-No report.

TASK FORCE TO IMPROVE COMMUNICATION-Dawn Alter, CMA (AAMA) no report.  This task force is comprised of the chair, TSMA Board, TSMA Chapters and TSMA membership.

TASK FORCE FOR STRATEGIC PLANNING-Carol Clapp, CMA (AAMA)-no report.  The membership survey on the website has not been completed.

ANNUAL CONFERENCE 2020-Monica Case, CMA (AAMA)-no report

FINANCIAL REVIEW-Dawn Alter, CMA (AAMA), AAS-presented at the BOD meeting

ELECTION OF DELEGATES AND ALTERNATES

1ST DELEGATE -Dawn Alter, CMA (AAMA)

2nd DELEGATE-Amber Martin, CMA (AAMA)

3rd DELEGATE- Rita Neeley, CMA (AAMA)

1st ALTERNATE-Sandra Laws, CMA (AAMA)

2ND ALTERNATE-Carol Clapp, CMA (AAMA)

There were four nominees and three nominees were tied.  This four chose which position they wanted.

Monica Case, CMA, (AAMA) moved that the ballots be destroyed.  Dawn Alter, CMA (AAMA) seconded.  Motion carrier and the ballots be destroyed.

BOARD RECOMMENDATIONS:

The Budget for the 2019-2020 year be approved.  Recommendation carried and the proposed budget will be instituted.

Approved up to $75 dollars to retrieve old records from Vickie Smith in Nashville and store at Carol Clapp’s house.  Recommendation carrier.  BOD will make arrangements to retrieve.  Carol Clapp and Sandra Laws volunteered to get in touch with Vickie Smith.  Gina Taylor, CMA (AAMA) volunteered to pick them up since she lives close to Nashville.  After Vickie Smith is contacted further action will be decided.

AAMA 63RD Annual Conference September 13-16, 2019 in Greensboro NC.

TSMA FALL SEMINAR 2019-Cherokee in mid-October.

TSMA annual conference 2020 Chattanooga.

TSMA Fall seminar 2020 will be in North East.  Reminder to watch dates of AAMA conference to avoid conflict.
